In this communication, we take a deeper dive into a valuable GCPay feature you may not be familiar with, but could greatly benefit from!
Why Audit Trails Matter:
Security, Compliance, and Peace of Mind
Audit trails are becoming increasingly important in software systems, offering transparency, accountability, and enhanced security. They track and log activity within a system, allowing administrators to monitor user actions, detect unauthorized access, and investigate security incidents. With a reliable record of events, organizations can strengthen compliance, protect data integrity, and conduct effective forensic analysis when needed.
Key Benefits of Audit Trails:
Compliance – Audit trails help organizations meet industry regulations by documenting all actions taken within the system.
Security – By capturing every interaction, audit trails assist in identifying unauthorized access and unusual activity.
Accountability – All changes and user actions are traceable, promoting responsible behavior.
Forensics – In the event of a breach or data loss, audit logs provide the historical data needed to investigate and resolve issues.
Quality Assurance – Reviewing past actions can help improve processes, identify inefficiencies, and optimize system performance.
Risk Management – Audit trails reduce the risk of compliance failures, security breaches, or unauthorized access, strengthening overall risk management.
How Audit Trails Work in GCPay GCPay audit trails record activity from both general contractor and subcontractor users. These logs capture key actions related to Schedule of Values (SOV), pay applications (AFPs), and ePayment disbursements. Each audit trail helps achieve critical security goals, including user accountability, event reconstruction, intrusion detection, and issue analysis. When users know their actions are tracked, they’re more likely to follow security protocols and avoid policy violations.
Specifically in GCPay:
Changes to SOV details are tracked, whether made by general contractors, subcontractors, or GCPay Support.
Each AFP or pay application has its own audit trail, showing all updates by user, with timestamps.
If an AFP is rejected, users can click the Audit Trail tab to see the rejection reason, including the general contractor’s comments in the Event column.
New events are continuously added to the audit trail, so be sure to read the release notes to get the latest information found on theClient Central page.
