# Keep Change Orders and Owner Billings Aligned

Connect approved changes, subcontractor pay applications, and your owner’s Schedule of Values. Build owner billings from approved costs with supporting documents in one place.

## Connect Approved Changes to Your Next Billing

A change order affects more than the contract total. You need to confirm approval, update the SOV, and carry the approved amount into the right billing period. Your owner’s draw package also needs the pay applications and supporting documents behind those costs.

GCPay connects change orders to subcontractor pay applications and helps you prepare AIA G702/G703-style owner billings from approved subcontractor costs.

- Maintain your ERP-led change order process with a supported integration, or originate subcontractor change orders in GCPay.
- Review and approve the change order before your subcontractor bills against it.
- Map subcontractor pay applications to your owner’s SOV to prepare the owner billing.

## Choose the Right Change Order Workflow

Set the approval path and required detail before a change reaches the billing cycle. In GCPay, you can use constrained or unconstrained change orders to match how your project works.

### Constrained Change Orders

You issue a set value. Your subcontractor provides the line-item breakdown and specified amounts, then submits the change order for your approval before billing against it.

### Unconstrained Change Orders

Your subcontractor submits a proposed change order through your configured approval process. Review the scope, costs, and supporting detail before approving the change for billing.

## Check These Details Before the Billing Cutoff

1. **Scope and support:** Record what changed, why the change is needed, and the supporting documentation.
2. **Approval:** Confirm the required reviewers have approved the change. Keep pending requests separate from approved amounts.
3. **Contract and SOV:** Verify the revised contract value and line-item allocation before the next pay application.
4. **Owner billing:** Check the mapping from subcontractor costs to the owner’s SOV and apply the owner’s billing requirements.
5. **Draw package:** Gather pay applications, lien waivers, retainage information, and any additional backup your owner requires.

## Approved Changes in Practice

> “Subcontractors can’t sneak in a change order that has not been approved. Their SOV must match their contract value. It makes the sub accountable.”

Suzanne Randall, Accounting Team, Downes Construction

Downes uses GCPay with Sage 300 CRE to sync subcontract, change order, and compliance information.

## Build Owner Billings from Approved Costs

Map subcontractor pay applications to your owner’s SOV and prepare AIA G702/G703-style billings from approved costs.

- Review line-item mapping in the Contractor Cost Report.
- Combine pay applications and lien waivers in the Monthly Cost Bundle Report.
- Add project-specific backup to complete your draw package.

**ERP note:** Owner billing data stays in GCPay and does not sync with your ERP. Continue to book receivables in your ERP.

## Change Order and Owner Billing Questions

### When can a subcontractor bill a change order?

The change order must complete your required approval process before billing. For a constrained change order, your subcontractor first breaks the set value into the required line items and amounts for your review.

### Does my owner need a GCPay login?

You can add an owner as a customer and prepare billings through your GC workflow, or use a setup where the owner handles submissions and approvals in GCPay. Choose the approach that matches your owner's participation.

### Does owner billing sync with my ERP?

No. Owner billing information does not push to or pull from your ERP. Prepare the billing and draw package in GCPay, then continue to book receivables in your ERP.

### How do I enable owner billing?

Contact GCPay Support or your Account Manager. Confirm your subcontractor-to-owner SOV mapping, approval responsibilities, and the reports and supporting documents needed for each draw.
