Coming Soon! Approver Controlled Retainage
We’re making it easier for GCs to manage retainage, no more workarounds or waiting on subs.
In our upcoming release, general contractors will have the ability to adjust retainage directly on approved SOVs. Previously, once a SOV was approved, any retainage changes required subcontractor involvement during the payment application process. With this update, GCs can take full control without needing subs to initiate changes.
To keep everyone informed, both GCs and subcontractors will see a message when retainage is adjusted on an AFP. Plus, we’re adding a new View Retainage Changes button, so you can quickly see what changed and when.
You'll also be able to make retainage updates on AFPs that are in Not Submitted or Rejected status, making it easier to ensure retainage amounts are accurate and up to date before moving forward.
This improvement applies to both Standard Retainage and Capped Retainage strategies, and it’s coming soon.
Stay tuned! We’ll notify you as soon as it’s live.
Adapting Stored Material Workflows to Fit Your Project
In 2025, the construction industry continues to face familiar challenges—labor shortages and material delays. To stay ahead, many contractors deliver materials to the job site early, which makes billing for stored materials a critical and increasingly customized process.
GCPay offers a solution with its Manually stored materials feature. When enabled, subcontractors must manually update their billing by deducting the value of installed materials from the Material Stored column (Column F) and adding it to $ This Period (Column D) as materials are installed. If the feature is not enabled, GCPay will automatically move all stored materials from Column F to Column D in the following pay period. This gives project teams more flexibility to bill based on the actual timing of installation and payment needs.
You can toggle this setting in Project Settings under the Stored Materials section. If you prefer not to use manual updates, simply disable the feature. GCPay will then automatically handle the transition of stored materials between pay applications.
And don’t forget, GCPay also provides a Material Report. This report lists every project with stored materials, includes project numbers, and shows the total value of stored items. It’s exportable in XLXS format, can be filtered by month, and supports reporting across subsidiaries.
A Real-World Look at the State of Digital Transformation in Construction
A new report from GCPay and Construction Dive surveyed 150 construction finance leaders, and while most say they’re satisfied with their digital transformation, the data paints a different picture.
🔹 70% of teams spend 6+ hours a week verifying data manually 🔹 Nearly 40% still process payments with paper checks 🔹 Lengthy approval chains and document gaps are still major roadblocks
Even for teams already using platforms like GCPay, the report offers valuable insight on where inefficiencies still hide, and how leading contractors are solving them with automation, real-time visibility, and tighter workflows.
If you’re still spending time chasing lien waivers, reconciling numbers manually, or waiting on physical signatures, this is your sign to take a closer look.
CFMA to Sage Future: What We’re Hearing in Construction Finance
Over the past few weeks, we had the chance to attend two standout industry events, CFMA’s Annual Conference in May and Sage Future at the start of June. Both brought together construction finance pros from across the country to talk strategy, share challenges, and dig into what’s really shaping the future of this industry.
While the settings were different, the themes were surprisingly aligned. Here’s what’s rising to the top:
• Visibility Is the New Currency At CFMA, visibilitywas the word of the day. Whether it’s job costs, commitments, or compliance documentation, having access to clear, up-to-date financial data isn’t just helpful, it’s mission-critical. Teams that can see what’s happening in real time are better positioned to stay on budget, mitigate risk, and get ahead of problems.
• Collaboration Is Key Across both events, we heard it again and again: strong financial performance depends on strong internal alignment. Project teams, accounting, and leadership all need to be on the same page, and the best way to get there is through shared tools, clear workflows, and ongoing communication.
• Tech Should Empower, Not Complicate At Sage Future, the focus was on practical innovation, solutions that make life easier, not harder. From automation to integration, the goal is to reduce friction and free up your team to focus on what really matters. One of our favorite moments came from Amanda at WDS Construction Inc., who said: “Anyone on my team would vote GCPay best in support out of the five software platforms we use.”It was a reminder that the right technology is only as good as the people behind it, and that support makes all the difference.
From CFOs to controllers to AP managers, everyone we spoke to shared the same goal:keep projects moving, keep payments flowing, and stay in control. Events like CFMA and Sage Future are powerful reminders that while construction finance is evolving, the most successful teams are embracing change with clarity, confidence, and the right partners by their side.
