How to Set Up Invoice Number Patterns in GCPay

GCPay allows you to customize invoice number patterns so they align with your internal accounting preferences and the requirements of your integrated ERP. Invoice numbers can be generated using information available in GCPay, including data that may come from your ERP through the integration.

 

Invoice patterns can include elements such as project numbers, subcontract identifiers, and pay application numbers. Using these elements helps create consistent, structured invoice numbers across your projects. Because each ERP has different capabilities and limits for invoice number length, the level of flexibility can vary depending on the integration. Some ERPs support more configurable patterns, while others require stricter formatting to ensure invoices post successfully.

 

In general, it is best to configure invoice patterns that cannot produce duplicate invoice numbers. Many ERPs require invoice numbers to be unique, so setting up a clear and consistent pattern helps prevent posting issues.

 

For the following integrations, invoice patterns must be configured by GCPay

Support to ensure they meet ERP requirements:

  • Sage Intacct
  • Acumatica
  • Viewpoint Vista
  • Viewpoint Spectrum
  • Autodesk Cost Management

Customers using Sage 100 or Sage 300 can configure their preferred invoice pattern directly through their default integration settings without needing support assistance.

Take Control of Owner Billings

Managing owner billings is one of the most critical parts of keeping your projects financially on track. As the primary mechanism for moving funds from the project owner to the contractor, accurate and timely billings protect your cash flow and reduce financial risk — so you can focus on getting the work done.

 

With GCPay, you can generate official AIA G702/703 owner billings, or G702/703-style billings, with your approved subcontractor costs automatically pulled in. No more manual calculations, no more scrambling to compile reports on short notice. Everything you need is stored in one centralized location and available through a single owner billing report — saving you time and keeping you organized.

 

This feature is included in GCPay at no additional cost (official AIA documents may carry a separate fee), so you can get more value from the same platform.

To enable Owner Billings on your account, reach out to GCPay Support or your Account Manager.

How It Works

Once enabled, you can add your Owner or Developer as a GCPay company — without requiring them to have a GCPay account. Owner Pay Applications will have the same familiar look and feel as your subcontractor pay applications, following the standard AIA G702/703 format and moving through a structured approval process.

 

You have full control over what each pay application includes, so you can tailor your billings to meet each owner's specific requirements. To create an Owner Pay Application, you'll need Editor project permissions and an approved Schedule of Values.

Insights From CONEXPO — Why They Matter

Last week, we hosted a booth on the exhibit floor at CONEXPO-CON/AGG, connecting with customers and industry leaders. Experiencing the show firsthand is always impressive, but the real value comes from the conversations.

 

It was especially great seeing familiar faces. Those quick check-ins reinforced something we’re hearing across the country: contractors are thinking strategically about control, visibility, and operational efficiency.

 

Here are three themes that stood out:

 

1. Cash Flow Is Still a Top Priority

Billing cycles and pay app timing aren’t back-office issues, they’re leadership conversations. Teams are looking for ways to reduce friction and create more predictability.
