Last spring, we added the Contractor Reference Number field so that subcontractors could specify their company's internal invoice reference number when creating a pay application, making it easier for GCs and subs to identify specific invoices on the platform when discussing invoicing. Last month, we added a small but useful supplemental feature to mandate this reference number: When enabled, this setting requires subcontractors to input their reference number at AFP submission, as the field can otherwise easily be overlooked. The field will be highlighted red and display an error when an AFP is submitted without the reference number.
The Require for AFP submission setting can be enabled by GCs in the company or project level settings once the Contractor Reference Number field is enabled.
Save even more time with advance approval routing
The most mentioned benefit of GCPay from users is the automation of workflows which includes automating the approval process for change orders, pay applications, and schedule of values. Defining roles and permissions for each user is often the first step for any general contractor as they become familiar with GCPay during their onboarding. However, many GCPay users may be unaware of more advanced approval routing. By clicking “advanced options” in the project permissions, a GCPay user can further customize how they create approval workflows by role, contract type, amount, and in which order a review workflow passes from user to user.
Another advanced approval option is setting up established “groups” and then assigning users or roles to each group. This allows a general contractor to have multiple reviewers and create a workflow that best fits the project requirements, making a more efficient and effective payment management process.
